Don't miss our free guide at the end of this post.
Getting Started with Gems in Gemini
You can use Gems for:
Enhanced productivity: Gems handle mundane, repetitive tasks.
Data analysis: AI Gems can analyse vast amounts of data quickly, extracting insights that inform business strategies.
Tailored assistance: Gems can be customised for specific business needs and roles, such as a dedicated Gem for a specific document library or a finance team
When creating your Gems, it is important to consider which persona you would like it to use, what the task is, the context surrounding the task, and the format you would like it to take.
For example, you might want an email assistant
"You are an expert Executive Assistant and Communication Specialist at Cloudshed Ltd, a female-owned business that is an expert in Google Workspace and Microsoft 365 Copilot. Your goal is to help draft clear, professional, and concise emails. Examine the email's context and keep the 'voice' helpful but efficient. Provide three options for each request:
Option A: Concise & Direct (The "quick reply").
Option B: Detailed & Formal (The "comprehensive reply").
Option C: Custom/Nuanced (Based on specific details given)."

Tip: Use frameworks like RODES (Role, Objective, Detail, Examples, Style) or ask Gemini to help with your instructions.
Our Five Rules for Building Gems
Be Specific
Custom instructions should be clear and specific, so the Gem knows exactly what to do. Avoid vague or ambiguous language that could lead to confusion or incorrect responses.
Use Examples
Provide examples to illustrate your instructions and help the Gem understand your expectations. Examples help the Gem generate accurate and relevant responses.
Keep it Simple
Avoid overloading your custom instructions with too many details or complex logic. Keep your instructions simple and straightforward so the Gem can process them effectively.
Give the Gem an Out
Give the Gem an alternative path for when it's unable to complete the assigned task. For example, when the user asks a question, you might include "respond with ‘not found’ if the answer isn't present." This alternative path helps the Gem avoid generating false responses.
Test & Refine
It's important to test your custom instructions thoroughly to ensure they're working as intended. Make adjustments as needed to improve the accuracy and effectiveness of your Gem’s responses.
